How to manage Default Reminders[edit]
You can manage platform reminders in Back Office > Master Data > Emails/Reminders > Reminders templates. You may also export the current list to excel by clicking on export link.
Insert a reminder from system default reminder[edit]
To insert a reminder using the system default reminder list, click Open system default reminders link. Search a default reminder, select it and click the Apply icon - the reminder is then copied from the system templates to client’s reminder templates. Note: By inserting a default reminder, the corresponding email template will be added to your email template list!
Create a new reminder[edit]
Click the New icon and edit your template following the instructions:
Complete all mandatory fields:
- Module: ST6 module applicable for this reminder. The feature drop down is dependent on the selected module.
- Feature: This is the trigger; when the action is executed the reminder template will be sent.
- Linked email template: The standard email template (content).
- Linked action: A drop down list of preset actions, varying depending on the module and feature selection. When the feature is triggered, this action will occur.
- Additional sent variable(X): This allows to precise the number of days the reminder will be sent based on a condition. This variable overwrites Linked action.
- Additional sent condition(Y): An additional filter can be set.
Note that you must enable the reminder by checking the corresponding box.
- Click to register the reminder.
Note: It is adviced not to enter any specific email addresses in: To, Cc and Bcc fields; the reminder has to be kept generic to be used as a standard reminder template.
Remember to check <Active> to activate the template.
Edit a reminder[edit]
Click and edit your template.
How to manage Emails templates[edit]
You can manage platform email templates in Back Office > Master data > Emails/Reminders > Email template.
Note: If an email template is linked to a reminder, you will not find the above icons. Only the content of the email is still customizable.
Inserting a new template from system email template[edit]
Click 'Open system email templates'
Search an email template, select it and click the Apply icon - the email template is copied from the system templates to client email templates. The content of the copied system template can be edited by clicking the folder icon. To know more about this, please refer to the Back Office – Customizing guide.
Creating a new template[edit]
Click <New> and edit your template by following the instructions:
- Choose the module and feature
- Edit template name, mail subject and body
- Insert tags. First, place your mouse cursor at the appropriate position in text (body or subject only). Then choose the tag from the list and press the blank page icon
To translate into multiple languages switch to specific language tab. A tag inserted in a tab will appear automatically in all other tabs. Please make sure to save before leaving each tab.
